Create and Invite Users
Smart Trading Cloud supports multiple types of users to help organizations manage internal teams and external collaborators efficiently. After creating your organization account, you, as an administrator, can onboard the following types of users to your organization account:

Organization users (internal users): Organization users are individuals who belong directly to your organization account, such as employees or internal teams. Their accounts reside within your organization, and their access is governed by the user groups and service roles you assign.
You can onboard these users in any of the following ways:

Guest users (external users): Guest users are Smart Trading Cloud users whose primary account belongs to another organization but who are granted controlled access to selected services within your organization. You can assign the specific roles and permissions that determine what they can access in your environment. Guest users can be used for vendors or other cross‑organization collaborations. They can switch between their home organization and yours through the My Profile page whenever they need to access resources you have granted them.

Application users: Application users are specialized accounts, created automatically by Smart Trading Cloud or by organization administrators, that Smart Trading Cloud applications use to authenticate and access the artifacts and resources assigned to them. They function as service-level identities that access only the files and resources explicitly shared with them using their generated credentials. For more information, see Create Application User.
Add Organization Users (Internal Users)
You can onboard internal users either by creating their accounts directly or by inviting them to register themselves.
Create a New User Account
You can create user accounts for your organization and provide login credentials for them.
To create a user account:
- On the top of the User Management page (
on the left navigation bar), click Create User.
- In the Create new Smart Trading user account overlay, enter the first name, the last name, and the email address of the user.
Note: If you configured SAML or OIDC federation for a particular organization email domain, you cannot create new users with this email domain in Smart Trading Cloud.
- Click Create.
Smart Trading Cloud creates a user with the email address you provided. For activation, the user receives an email invitation to sign in to Smart Trading Cloud using the automatically-generated password specified in the email. The user will need to then set their own password in the My Profile pane available from any of the Smart Trading Cloud services.
Invite A User (Self‑Registration)
You can invite users to create their own Smart Trading accounts. When you invite users, they receive an email prompting them to complete their own account setup.
Note To join your organization account, the email address of the user you invite must have a domain name reserved for your organization account. Otherwise, the user will be prompted to create a new organization account.
To invite a user:
- On the top of the User Management page (
on the left navigation bar), click Invite New Users.
- In the Invite new users to create their Smart Trading accounts overlay, select the user group to which the new user(s) must belong (for example, Administrators), enter the email address(es) of the user(s) you want to invite, and then click Invite.
Smart Trading Cloud does not create a new user but sends an invitation to the specified email address. The person you invite can sign up to Smart Trading Cloud and create a new account. To see the list of invited users or to delete invitations, go to the User Registrations page.
Add Guest Users (External Users)
You can add Smart Trading Cloud users from other organization accounts to your own and grant them access to specific services that your organization is subscribed to. These users function as guest users in your environment.
You can onboard guest users using the same methods you use for your internal users, either by creating their accounts (if they do not already have a Smart Trading Cloud account) or by sending them an invite. However, the key difference lies in how you manage their access. When adding a guest user to a user group, make sure the group is associated only with the services and roles you want them to access.
To keep access clear and controlled, you can create a dedicated user group for guest users. Assign this group the specific service permissions and appropriate roles. Guest users can perform only the actions allowed by the roles assigned to that group.
To set up a dedicated guest user access, follow the steps below:
- On the User Management page (
on the left navigation bar), in User Groups, click Create Group (
).
- Enter the user group name, for example, Guest Users, and then click Create.

In this group details, in the right pane, under the group name, next to Group Roles, click Add Roles By Service (
).
- In the Add Service Role dialog:
- From the Select Application drop-down, select the service to which you want to give users access.
- From the Select Role drop-down, based on the access permission you want to grant, select the role (such as, Viewer, Regular User, or Administrator) you want to assign to this user group.
- Click Add. The users are allowed to perform only those actions that are specified in role permissions.
- Repeat steps 3 and 4 if you want to grant access to more services.
- On the top of the User Management page:
To invite an existing Smart Trading Cloud user as a guest user:
Click Invite New Users.
In the displayed overlay, select the newly created user group name, enter the email address of the Smart Trading Cloud user (with a different domain name) you want to add to this group and click Invite.
An email invite is sent to the guest user. After the user accepts the invite, the user is added to the list of your users with the icon
.
To create a new Smart Trading Cloud user to be added as guest user:
Click Create User.
Enter the first and last names and the email address (with a different domain) of the guest user and click Create.
An email is sent to the guest user with a sign up link. After the user signs up to Smart Trading Cloud, the user is added to the list of your users with the icon
.
Guest User Actions
To switch to another account, the added guest user must do the following:
- Open the My Profile pane (
on the left navigation bar) or at the top right of the page.
- Click Switch next to Organization Account and select the organization account to be redirected to.
Note After the guest user is logged out from Smart Trading Cloud, this user is automatically switched back to the organization account they belong to.
